Trade show shuttle Toronto: what we actually run
Most convention transport in Toronto comes down to four jobs: getting people in from the airport, getting them from hotels to the hall each morning, keeping key people mobile during the day, and getting everyone back to the airport when the show closes. We do all four under one account. Individual delegates and speakers book a sedan or SUV on our reservation engine at /book/. Exhibitors and sponsors book an hourly chauffeur for the length of the show. Associations and event planners ask a coordinator for a written programme with Sprinters and partner coaches on fixed loops. Our dedicated trade show transportation service page explains the corporate side in more depth; this page is the venue-by-venue guide.
Which Toronto venues host the big conventions and trade shows?
Four venues carry most of the region's large exhibitions, each with its own logistics:
South Building at 222 Bremner Boulevard, a short walk from Union Station, according to the MTCC.
Gardiner and Lake Shore Boulevard; details on Exhibition Place's site.
- Metro Toronto Convention Centre (MTCC): two buildings downtown, the North Building at 255 Front Street West and the
- Enercare Centre at Exhibition Place: the large halls on the lakeshore grounds west of downtown, reached from the
- Toronto Congress Centre: on Dixon Road in Etobicoke, a few minutes from Pearson; see the Toronto Congress Centre.
- The International Centre: on Airport Road in Mississauga, right beside the airport; see the International Centre.
Shows move between these venues, so always check your event's own site for the hall.
Distances and drive times to each convention venue
| Venue | From Union Station | From Pearson (YYZ) |
|---|---|---|
| Metro Toronto Convention Centre | under 1 km, 5–10 min | about 27 km, 25–45 min |
| Enercare Centre / Exhibition Place | about 4 km, 10–20 min | about 25 km, 25–40 min |
| Toronto Congress Centre (Dixon Road) | about 27 km, 25–40 min | about 5 km, 8–15 min |
| International Centre (Airport Road, Mississauga) | about 32 km, 30–45 min | about 5 km, 8–15 min |
These are typical planning figures. Weekday rush hour on the 401, the 427 and the Gardiner can add a lot, and the reservation engine quotes the exact fixed fare for each address, date and time.
Downtown hotel to an airport-area hall: is a shuttle worth it?
This is the most common planning question we get. Many delegates stay downtown for the restaurants and nightlife, but the Toronto Congress Centre and the International Centre sit near Pearson, roughly 27 to 32 km from the Financial District. Each morning that is 25 to 45 minutes against traffic heading the same way. For a group, a scheduled Sprinter loop from two or three downtown hotels is far more reliable than dozens of ride-hail requests at 7:45 a.m. For a smaller team, the alternative is to stay near the airport; see our guides to Pearson airport hotels and airport corporate centre hotels. For the MTCC, the opposite applies: downtown convention hotels are within walking distance, and the car is mostly for the airport and evening events.
Hourly chauffeurs for exhibitors, speakers and executives
During a show the people who matter most rarely stay in one place. A sales director has breakfast with a client at a Financial District hotel, works the booth, takes a prospect to lunch in Yorkville and hosts a dinner on King Street. The hourly chauffeur service keeps one car and one chauffeur with them from a 3-hour minimum, with extra time in 30-minute blocks, so every move is a text away. A first-class sedan suits a visiting CEO; an Executive Sprinter turns a team's site visits into a mobile meeting room. For investor days built around a show, see our roadshows and investor meetings page.
Group vehicles for delegations and staff
| Group | Vehicle | Seats |
|---|---|---|
| Speaker or VIP | First-class sedan or premier luxury SUV | 2–6 |
| Small exhibitor team | SUV | 6 |
| Board or leadership group | First-class Executive Sprinter | 6 |
| Delegation | Executive Sprinter | 7 |
| Booth crew or delegation | Sprinter luxury van | 12 |
| Hotel-to-hall loop for a large group | Coach through vetted partners | 55 |
Coaches and any vehicle beyond our own fleet come from vetted partner operators in the LimousineWorldwide.Directory network; multi-vehicle programmes are priced in writing by a coordinator.
How we plan a convention transport programme
- You send the show dates, venue, hotels, expected arrivals by day and any VIP movements.
- A coordinator proposes vehicles and timings: airport arrivals, morning loops, afternoon returns and evening events.
- Arrivals are matched to flights; every Pearson pickup is flight-tracked.
- On show days dispatch watches session ends and traffic, and moves vehicles where the queue is longest.
- Departure day is scheduled by flight time, with buffers for check-out and the drive to the airport.
The programme sits on one account with one booking reference per vehicle, which makes approval and expense reporting easier for your finance team.
Airport arrivals for delegates
Delegates arrive at Pearson Terminal 1 and Terminal 3, and sometimes at Billy Bishop for short-haul flights. Your chauffeur tracks each flight and meets passengers at the terminal's pre-arranged pickup area on the arrivals curb, with 30 minutes of included waiting from actual landing on Canadian domestic and US flights and 60 minutes on other international arrivals. Meet and greet inside arrivals with a name board is an optional add-on available at booking, often worth it for first-time visitors. Our Pearson airport limo page describes the process, and the Pearson terminal pickup guide helps delegates find their car.
Exhibitors moving samples and display pieces
Exhibitors often arrive with roller cases, sample kits and banner stands. Tell us the number and size of pieces when you book: a Yukon XL or Suburban takes a surprising amount, and a Sprinter with luggage space handles a booth team with kits. We move people and their cases, not freight; pallets, crates and large exhibit builds belong with the show's official freight contractor and loading docks. Our chauffeurs help load and unload at the curb, but they cannot enter loading docks or show floors unless the venue allows it.
Evening events, galas and client dinners
Trade shows are as much about the evenings as the booths. Sponsors host dinners in the Financial District and receptions at venues such as The Carlu or Arcadian Court, and clients need a safe ride back to their hotels. An hourly booking keeps a car on call through dinner, the after-party and the late drop-offs, with several addresses on the way. For bigger evenings, our corporate events and galas page covers arrival timing, multiple vehicles and VIP protocol.
Traffic and timing around Toronto convention venues
The 401 is the busiest highway in North America, and the 427 corridor near the airport-area venues slows at morning and evening rush. Downtown, the MTCC shares its block with Union Station, the Rogers Centre and Scotiabank Arena, so a show closing at the same time as a Blue Jays or Leafs game creates serious congestion on Front Street and Bremner Boulevard. Exhibition Place traffic is heaviest when a show overlaps with a BMO Field match or a summer festival. We check the venue calendars, 511 Ontario and the weather, and build buffers into every programme.
Is the UP Express or GO a good alternative for delegates?
For a delegate with a carry-on staying near Union Station and attending a show at the MTCC, the UP Express from Terminal 1 is often the simplest option. For the airport-area halls, transit is less direct, and for groups, heavy bags, Terminal 3 arrivals and late nights, a car usually wins. Planners should also remember that a group arriving together at one hotel is far easier to move in one Sprinter than in a dozen separate trips.
Pairing a show with Toronto sights
Delegates often stay an extra day. An hourly chauffeur can fit the CN Tower, the Distillery District or a day trip to Niagara Falls around a convention, and our city tours service covers the classic sights. Our travel desk can arrange flights, extra hotel nights and packages for delegates and their partners. If your event is at another venue, see the full convention and meeting venues guide.
How to book convention transportation in Toronto
Individual trips and hourly chauffeurs are booked on our reservation engine at /book/, which shows the fixed, all-in fare (chauffeur, vehicle, fuel, any 407 ETR tolls, airport fees and gratuity; HST shown separately) before you confirm. Multi-vehicle programmes and coaches are priced in writing by a coordinator. Cancellation is free more than 72 hours before pickup; 72 hours or less is 10 %, 48 hours or less 50 %, and 24 hours or less or a no-show 100 %, measured from each scheduled pickup. The show calendar fills quickly in spring and autumn, so book as soon as your dates are confirmed. If your group is in town in February, our Toronto AutoShow page covers that show.
Speaker and VIP movements during a show
Keynote speakers and VIP guests run to tight schedules: green room call times, media interviews, a sponsor lunch and a flight out the same evening. We assign a named chauffeur for the day, confirm every movement in writing the night before, and keep the car close to the venue's agreed pickup area during sessions. If a session runs over, the chauffeur adjusts; if a flight moves, dispatch rebooks the airport run. For diplomatic or high-profile guests, our diplomatic and VIP protocol page explains discreet arrivals, and a premier luxury SUV is the usual choice.
Shows near Pearson: tips for the Dixon Road and Airport Road halls
The Toronto Congress Centre and the International Centre sit in the busiest part of the airport district, where Highway 427, Highway 401 and Highway 409 meet. Morning traffic toward the airport and afternoon traffic away from it are both heavy, so we time hotel loops to arrive before the doors open and leave a little before or after the peak. Many visitors stay at airport-area hotels for these shows, which cuts the morning transfer to a few minutes. Delegates flying out on the last day can often go straight from the show floor to their terminal, about 5 km away, with luggage already in the car.
Shows at Exhibition Place: what to expect
The Enercare Centre and the other halls at Exhibition Place host consumer and trade shows through the year, including the Royal Agricultural Winter Fair in November. The grounds are reached from the Gardiner and Lake Shore Boulevard, with Exhibition GO station on the Lakeshore West line next door. When a show overlaps with a match at BMO Field or a summer event on the grounds, the approach roads slow sharply; we check the Exhibition Place calendar and adjust pickup times. See our Enercare Centre venue guide for more.
