To book a black car in Toronto, open the reservation engine, enter pickup and destination (or hours for an hourly chauffeur), date, time, passengers, bags and any flight number, then choose a vehicle class. The fixed, all-in fare appears before you confirm. You then receive a confirmation, the chauffeur tracks your flight or arrives 10 to 15 minutes early, and the fare does not change.
Our black car service in Toronto page explains what the service is. This post is the practical walk-through: what to type into each field, how to pick a vehicle class, and what happens between the moment you confirm and the moment you step out at your destination. It is written for first-time bookers and for assistants booking on someone else's behalf.
How do you book a black car in Toronto, step by step?
- Choose the trip type: one way (A to B, with optional extra stops) or hourly (a block of time, 3-hour minimum).
- Enter the pickup: a full street address, hotel name, or airport and terminal.
- Enter the destination or, for hourly, the expected stops and final drop.
- Set date and time: for airport pickups, the scheduled landing time and flight number.
- Enter passengers and bags honestly, including golf bags, strollers and wheelchairs.
- Choose the vehicle class the engine offers for that party size.
- Add extras: meet and greet, child seats, extra stops, all available at booking.
- Review the fixed fare and confirm.
The whole process takes about two minutes on the booking page.
Which vehicle class should you choose?
Start with people, then luggage. A business sedan or the electric Tesla Model Y carries two passengers with two bags each. A first-class sedan carries the same, with more space and a quieter cabin for working. An SUV or premier luxury SUV carries six with four bags. Sprinters seat seven (lounge), six (captain's chairs) or twelve. If the party is three adults with large suitcases, choose an SUV even though a sedan has the seats; a full trunk on the way to Pearson is not something to discover at the curb.
What should you enter for an airport pickup?
The airline, flight number, scheduled arrival time and terminal. At Pearson, check your booking for Terminal 1 or 3. The chauffeur tracks the flight, so an early or late landing moves the pickup automatically, and included waiting runs from the actual landing: 30 minutes after Canadian domestic and US flights, 60 minutes after other international arrivals. The standard fare includes curbside pickup at the pre-arranged pickup area; meet and greet inside arrivals with a name board is an add-on at booking. Toronto Pearson explains how pre-arranged pickups work, and our Pearson terminal pickup guide covers the walk from baggage claim.
What should you enter for a hotel or office pickup?
The exact address and, if there are several doors, the one you will use: "front drive", "the Wellington Street entrance", "the lobby on the King Street side". Large complexes such as First Canadian Place or a big downtown hotel have multiple entrances, and naming one saves ten minutes of phone calls. Add the passenger's mobile number so the chauffeur can text on arrival. For hotel guests, see our pages on Financial District hotels and other hotel areas.

What does the fare include?
The fare the engine shows is fixed and all-in: the chauffeur, the vehicle, fuel, airport fees and gratuity, with HST shown separately. There is no meter and no surge. What changes the fare before you book is the vehicle class, distance and drive time, waiting, extra stops, the date and time, and the hourly minimum. Our page on how our fares work explains each input, and what a Toronto chauffeur costs by the hour works through examples.
What happens after you confirm?
You receive a booking confirmation with the date, time, pickup, destination, vehicle and fare. Closer to the trip, you receive the chauffeur's details. Keep the confirmation handy: if anything changes, quoting it lets dispatch find the booking at once. Changes to time, stops or vehicle can be made before pickup; the earlier you make them, the easier they are to accommodate; the cancellation terms are written down: more than 72 hours before pickup is free, 72 hours or less is 10 %, 48 hours or less is 50 %, and 24 hours or less or a no-show is 100 %.
What happens on the day of pickup?
For a home, hotel or office pickup, the chauffeur arrives 10 to 15 minutes before the booked time and texts when in position; 15 minutes of waiting are included. For an airport pickup, the chauffeur follows your flight and is at the pre-arranged pickup area when you come out. The chauffeur loads luggage, confirms the destination and any stops, and asks about temperature and music. Water is in the car. If you want quiet to work or sleep, say so; a professional chauffeur reads the cabin and keeps conversation to what you want.
How long do typical black car trips from downtown take?
These are planning figures from downtown Toronto around Union Station. The engine prices the exact route for your address.
| Trip from downtown Toronto | Typical distance | Typical drive time |
|---|---|---|
| Billy Bishop airport (YTZ), mainland pavilion | 3 to 5 km | 10 to 20 min |
| Yorkville and midtown | about 5 km | 10 to 20 min |
| North York | about 15 km | 20 to 35 min |
| Toronto Pearson (YYZ) | about 27 km | 25 to 45 min |
| Mississauga | about 30 km | 30 to 45 min |
| Vaughan or Markham | about 35 km | 30 to 45 min |
| Hamilton | about 68 km | 50 to 75 min |
| Niagara Falls | about 130 km | 85 to 110 min |
When should you book hourly instead of one way?
When you have three or more stops, a wait longer than about 45 minutes, or an end time you cannot predict. The hourly minimum is 3 hours for sedans, SUVs and Sprinters, with extra time in 30-minute blocks, and waiting is included. See the hourly chauffeur service page and our post on car service with multiple stops.
How far ahead should you book?
For an ordinary weekday airport run, a day or two is usually fine. For early-morning flights, book at least the day before so the pickup can be planned. For Saturdays in wedding season, December evenings, TIFF week in September, graduation weeks and long weekends, book two to six weeks ahead. Same-day bookings are possible when the fleet has capacity; the engine shows what is available for your time.

What does a first black car booking look like for a visitor?
Take a consultant flying into Toronto for two days. Before travelling, she books three things in one session: a pickup at Pearson Terminal 1 after her morning flight, with the flight number entered; an hourly block for the following afternoon, covering client visits in Mississauga and downtown; and a drop at Billy Bishop for her return flight, which is about 3 to 5 km and 10 to 20 minutes from the Financial District. She chooses a business sedan for all three. On arrival, she gets a text from the chauffeur as the plane lands, walks to the pre-arranged pickup area and is at her hotel within the hour. Nothing is rebooked on the day.
What does a family's first booking look like?
A family of five arriving from overseas at Terminal 3 books a premier luxury SUV with an infant seat and a booster, meet and greet inside arrivals, and the flight number. Because international arrivals include 60 minutes of waiting from actual landing, a long customs queue does not cost anything extra. The chauffeur meets them with a name board, helps with the trolley and has the seats fitted before they reach the car. Our post on family arrivals and reunions covers the details that make that first hour easier.
What happens if a flight is cancelled or rebooked?
Tell dispatch as soon as you know, quoting the confirmation. If the airline moves you to a later flight the same day, the pickup is moved to the new flight and the chauffeur tracks that instead. If you are rebooked to the next day, the booking is moved rather than cancelled where the schedule allows. Because cancellation charges are measured from the scheduled pickup, telling us early is always the cheapest option. Passengers on cancelled overseas flights sometimes need a hotel near Pearson; our Pearson airport hotels page lists the area, and the car can take you there instead.
Can you book for someone else?
Yes; assistants, family members and travel managers book most of our trips for other people. Enter the passenger's name and mobile number in the booking so the chauffeur contacts them directly, and send them the confirmation. For regular bookers, a corporate account keeps passenger profiles and billing in one place.
What about child seats, pets and accessibility?
Child seats (infant, convertible or booster) are available at booking and fitted before pickup; tell us the child's age and weight. Pets need prior approval: request it at booking and wait for written confirmation. We have a wheelchair-accessible vehicle for anyone who must stay seated in a wheelchair or scooter, available when booked in advance: for passengers who can transfer to a seat, chauffeurs fold and stow wheelchairs and walkers.
Can you book a black car to the USA or another city?
Yes. Cross-border trips to Buffalo, Niagara Falls NY and Detroit, and longer runs to Ottawa or Montreal, are booked the same way. For the USA, every passenger needs a valid passport or eligible alternative such as NEXUS; the CBSA and CBP sites list current requirements, and our cross-border limo page explains the trip. Through the LimousineWorldwide.Directory network, chauffeured cars can also be booked in more than 70 countries and 500 cities on the same account.
What mistakes do first-time bookers make?
Entering the departure time instead of the landing time for an airport pickup. Forgetting the terminal. Choosing a sedan for three people with large cases. Booking one way for a day with five stops. Not giving a mobile number. Leaving the return leg unbooked on a busy night. Each is easy to avoid by reading the summary once before confirming. A useful final check is to read the summary as if you were the chauffeur: would you know exactly where to go, whom to look for, how many bags to expect and when to be there? If the answer is yes, the booking is complete.
Why book direct instead of through an app or platform?
Booking on our own engine means no aggregator between you and the car, one dispatch desk for changes, and the fare you see is the fare you pay. If you are comparing us with a global platform, read our post on a Blacklane alternative in Toronto. If your trip also involves flights or hotels, our travel desk can plan them with the car.
