To book a taxi with a car seat in Toronto for relatives arriving at Pearson, reserve a black car in advance with the flight number, each child's weight and the seat type. TorontoBlackLimousine.com fits the seats before pickup, tracks the flight, waits 60 minutes after an international landing, and can add meet & greet so a chauffeur with a name board finds your family inside arrivals.
Some of the most important bookings we take are made by someone who will not be in the car. A daughter at work in the Financial District books her parents and her nephew off a flight from Manila. A father in Markham books his sister, her husband and two toddlers in from London. Our page on family arrivals and reunions explains how we handle these trips as a service; this post is the booker's checklist, written from the dispatch desk, for getting a taxi with a car seat in Toronto right when you are booking on someone else's behalf.
How do you book a taxi with a car seat in Toronto for someone else?
You book exactly as you would for yourself, with three differences. First, the passenger's name and mobile number go into the booking, not yours, so the chauffeur can text them directly once they land. Second, your own contact details go into the notes as the person dispatch should call if anything changes. Third, you add the details only you know: how many children, their weights, whether anyone has never been to Canada before, whether anyone needs a wheelchair folded into the trunk.
A cab from the Pearson taxi stand cannot do any of that. Ontario's child car seat rules, summarised on the province's page about choosing a child car seat, exempt taxi drivers carrying a passenger for hire, so the car at the front of the line may have no seat at all. Pre-booking removes the gamble before your family has even boarded.
What information should I collect from my relatives before they fly?
Ask for these by message a few days ahead and paste them into the booking:
- Flight number and date, as written on the ticket, including any connection.
- Arrival terminal if the airline shows it; Pearson uses Terminal 1 and Terminal 3.
- Every passenger's name, and the lead passenger's mobile number with country code.
- Whether their phone will work in Canada. If not, meet & greet matters more.
- Each child's weight and height, so the right infant, convertible or booster seat is fitted.
- Bags: the number of checked cases, strollers and anything oversized.
- The destination address, with buzzer code or building instructions.
With those seven items, dispatch can choose the vehicle, fit the seats and plan the chauffeur's timing without calling anyone.
Should I add meet & greet for relatives who have never been to Toronto?
For first-time visitors, older relatives or anyone without a working Canadian phone, yes. The fare includes curbside pickup at the terminal's commercial pre-arranged area, which Pearson explains on its pre-arranged services page. That works well for experienced travellers who can read a text and walk out to the curb.
Meet & greet, an optional add-on available at booking, puts the chauffeur inside the arrivals area with a name board. For a grandmother pushing a trolley with a toddler on top, after a 15-hour flight, a face holding her name is worth a great deal. The chauffeur takes the trolley, walks the family to the car and handles the seats while everyone settles.
How long will the chauffeur wait if customs is slow?
Every airport pickup is flight-tracked, so delays before landing cost nothing and need no phone call. Included waiting counts from actual landing: 60 minutes on international arrivals and 30 minutes on Canadian domestic and US flights. After that, waiting is added in 15-minute blocks, and the booker is told before extra time starts.
International arrivals with children often use most of that hour: the walk from the gate, the border kiosks and an officer, the bag hall, then a stroller that comes out on a different belt. Relatives bringing food or gifts from home should read the Canada Border Services Agency rules on what to declare, because a declaration question at the counter adds time. If your relatives are on a very full evening arrival bank, tell dispatch and we will plan for it. Our post on the Pearson international arrivals pickup plan describes each step inside the terminal.

Which car seats and vehicle should I choose?
Choose seats by weight. Ontario's stages are rear-facing infant seats up to 9 kg (20 lb), forward-facing toddler seats from 9 to 18 kg (20 to 40 lb), and boosters from 18 to 36 kg (40 to 80 lb) for children under 8 and under 145 cm. Children travelling from abroad sometimes grow faster than the last photo suggests, so ask for a current weight.
Then choose the vehicle by luggage, not by head count. Families coming for a long visit bring big cases. Two adults, two children in seats and four checked bags is an SUV load. A larger family, or grandparents plus parents plus children, belongs in a Sprinter luxury van. If in doubt, book one size up; nobody wants a suitcase on a lap for 45 minutes.
How far is the drive from Pearson to where my family is staying?
Planning figures for the most common arrival destinations, before traffic:
| From Pearson (YYZ) to | Distance | Typical drive time |
|---|---|---|
| Downtown Toronto | about 27 km | 25–45 min |
| Brampton | about 20 km | 20–35 min |
| Mississauga city centre | about 15 km | 15–25 min |
| Markham | about 40 km | 30–45 min |
| Scarborough | about 40 km | 35–50 min |
| Vaughan | about 25 km | 20–35 min |
| Oakville | about 30 km | 25–40 min |
| Hamilton | about 70 km | 45–65 min |
The trip planner measures the exact street, and the reservation engine quotes the fixed fare for that address, date, time and vehicle.
Can one booking cover relatives landing on different flights?
Not one car, but one plan. When two branches of a family land two hours apart, we book two pickups and stagger them, or one car that waits if the gap is short. Tell dispatch both flight numbers in the notes of each booking so the desk sees the whole picture. If the gap is long and everyone is going to the same house, the first group goes ahead rather than sitting in the terminal.
For a wedding or a big family occasion with many arrivals over two or three days, give us the full list and we will build a schedule. Several vehicles on the same day are priced in writing by a coordinator.
When does an hourly chauffeur suit an arrival day better?
When the arrival is only the start of the day. Relatives from overseas often need a Canadian SIM card, a pharmacy stop, groceries for the first evening, and a visit to an older relative before reaching the house. Our hourly chauffeur service keeps the same car, chauffeur and fitted seats for a 3-hour minimum, with extra time in 30-minute blocks. The children stay buckled into seats that fit them, the cases stay in the trunk and nobody re-installs a seat in a second car.
It also works on departure days, when there is a last family lunch in Brampton before an evening flight.
What about late-night and early-morning arrivals?
Many long-haul flights from Asia, the Middle East and Europe land late in the evening or at dawn. Dispatch runs those pickups the same way as a noon one: flight tracked, car warmed in winter, seats fitted. For an arrival after midnight, it helps if you, the booker, keep your phone on until the family texts that they are in the car. Ride-hail supply can thin out at those hours, and a stand taxi still may not carry the seat a toddler needs.
In winter, bring a warm layer to the airport for anyone coming from the tropics. The walk from the terminal door to the car at the pre-arranged area is short, but January in Toronto is a shock after Manila or Mumbai.
What should my relatives do if they cannot find the chauffeur?
Give them three simple instructions before they fly:
- Once through customs, turn on the phone and read the chauffeur's text with the car's colour and plate.
- If meet & greet was booked, look for their name on a board in the arrivals area and stay there.
- If there is no signal, ask an airport information desk to call the dispatch number on the confirmation, or call it from a payphone or a fellow traveller's phone.
Dispatch can also call you, the booker, to relay messages. Families rarely get lost, but an agreed plan stops a tired traveller from leaving with an unofficial driver who approaches inside the terminal.
How does payment work when I book for someone else?
You pay; they ride. The reservation engine shows the fixed all-in fare before you confirm, covering the chauffeur, the vehicle, fuel, airport fees and gratuity, with HST shown separately. Your relatives are not asked for money in the car. Extra waiting beyond the included time, or an added stop on the way, is charged to the booker's card, and dispatch messages you first.
The cancellation policy runs from the scheduled pickup: more than 72 hours before is free, 72 hours or less is 10 %, 48 hours or less is 50 %, and 24 hours or less or a no-show is 100 %. If the airline cancels and rebooks your relatives, moving the pickup is a change, not a cancellation.
What are the common mistakes when booking a family arrival?
- Using the departure time instead of the arrival time. Always book with the flight number.
- Putting your own number as the passenger's. The chauffeur then texts you, not the person at the curb.
- Guessing children's seats from age. Weight decides.
- Forgetting the stroller. It takes trunk space a sedan does not have.
- Assuming relatives will have data. Add meet & greet if they might not.
- Booking only one way. Book the return to Pearson at the same time so seats are reserved for that day too.
Can visiting relatives use the car for sightseeing during the stay?
Yes. Plenty of families keep a chauffeur for a day of the visit: the CN Tower and the waterfront, a drive to see the falls at Niagara Falls (about 130 km and 85 to 110 minutes from downtown), or a day at the Toronto Zoo with the grandchildren. Seats stay fitted for the whole booking. Our private chauffeur page explains full-day bookings and breaks for the chauffeur.
Can the travel desk book their flights and hotel?
If your relatives have not bought tickets yet, our travel desk, run with BookingWorldwide.net, can help with flights, hotel rooms and packages, and the car is added to the same plan so the arrival time is right from the start. Families who will stay in a hotel rather than at home often choose one near where the family lives; our Mississauga hotels page is a good example for west-end families. The companion post on a car seat taxi in Toronto covers trips where the parents themselves are travelling.
How do the arrival options compare?
